Terms of service

Exam Booking Validity

All exam bookings made with Licensing Solutions are valid for 12 months from the date of purchase.
If the exam is not completed within this 12-month period, the booking will expire, and all associated fees will be forfeited.

Expired bookings can be reinstated for an additional fee of £25+VAT, which will reactivate the booking and allow the candidate to proceed with the exam.

It is the candidate’s responsibility to ensure they take and pass their examination within the 12-month validity period to avoid incurring additional costs.


Completion of E-Learning Before Exam Booking

Exams can only be scheduled once the associated e-learning course has been 100% completed and passed.
Candidates will not be eligible to book or sit their examination until they have successfully completed all online learning modules and any required assessments.


Misuse of Learning Materials and Exam Links

All learning materials, access credentials, and examination links provided by Licensing Solutions are for the exclusive use of the registered candidate.
Sharing, distributing, or otherwise providing access to these materials or exam links to other individuals is strictly prohibited.
Licensing Solutions reserves the right to withdraw access to training and examinations for all associated candidates where such misuse occurs.
No refunds will be issued in these circumstances.


Requirement to Produce Adequate Identification for Online Exam

It is a strict requirement of our awarding bodies that all candidates must provide adequate proof of identity before being allowed to sit their examination. This must be in the possession of the candidate at the time of the exam and produced to the exam invigilator. You will be invited to upload ID to our exam system, but you MUST have this same ID with you at the time of the examination.

The identification provided must be current and valid on the day of the exam. Expired identification will not be accepted, and the exam will not go ahead unless valid ID is produced. It is the candidate’s responsibility to ensure that the ID submitted meets this requirement.

Photographs of your ID will not be allowed. A candidate that is unable to produce adequate means of identification in accordance with exam regulations will be excluded from the examination, will be regarded as having failed to attend at their exam and, consequently, will incur a £25+VAT re-booking fee.


Online Invigilation

Our online examinations are conducted in accordance with authorised and independent online invigilation companies. All exams are monitored and reviewed. Should any issues be raised by the online invigilation company, Licensing Solutions or the awarding body, the examination, if completed, could be made null and void.
There will be no refund of fees should your examination be cancelled due to breach of the exam rules. Should the exam board allow for a further attempt or should your exam not be able to run due to a breach of the rules or a refusal to adhere to the rules, the exam would be subject to a £25+VAT re-booking fee.

You must be able to satisfy the following exam regulations:

Please be aware of the following:

  • NO leaving the exam room / toilet breaks
  • NO reading material or notes
  • NO search engines
  • NO Additional Screens/Monitors
  • NO other person in the exam room
  • NO telephone calls
  • NO vehicles – exam must be taken in a private room
  • NO headphones
  • NO translation software – the exam must be taken in English

You MUST have valid identification with you at the exam session – please contact the team if you need to discuss acceptable ID.
Your desk/work station MUST be clear. Please remove all papers, books or anything that could be interpreted by the exam board as assisting with your examination.
You will be asked to do a 360 view of your examination room and desktop.
You will NOT be allowed to take your exam on just a mobile phone – you must have a secondary device.


Cancellation of the Order by the Candidate

Candidates can request a full refund if they HAVE NOT scheduled an examination.
Candidates who wish to cancel AFTER they have scheduled an examination will incur a £25+VAT charge.
Candidates who wish to cancel AFTER they have taken the exam, have failed to attend their exam or when the exam has not been able to take place through no fault of Licensing Solutions will NOT be eligible for a refund.


Reschedule of an Exam by the Candidate

Candidates may reschedule their exam free of charge up to 3 times.
Rescheduling your exam can be done via the exam confirmation email but will only be accepted if you give a minimum of 12 hours notice.
Candidates who re-schedule with less than 12 hours notice will incur a £25+VAT re-booking fee and will need to contact Licensing Solutions.
Any subsequent changes (after 3) will incur the following change fee: £15+VAT per reschedule.

Important: Booking a new exam appointment without first cancelling or rescheduling an existing booking will not be regarded as a reschedule.
In this circumstance, the candidate will be deemed to have booked two separate appointments and will therefore be liable for both bookings.


Candidates Who Fail to Attend a Pre-Booked Exam

Candidates who fail to attend a scheduled examination will incur the following penalties: £25+VAT re-booking charge.


Withdrawing Candidates

By purchasing a course and exam on behalf of another individual, the purchaser acknowledges and accepts full responsibility for ensuring that the designated individual does not proceed with the course or exam if they do not wish them to do so.
The training centre will not be held liable for any individual’s participation in the course or exam once access has been provided.
It is the purchaser’s sole responsibility to manage and control access to the course and exam materials.


Technical Issues

Technical issues are the responsibility of the test taker. Our partners at Prctr.com will endeavour to offer their expertise when situations arise.
Should the session need to be rescheduled due to technical issues, there is a £25+VAT charge.
Licensing Solutions does not offer refunds should the test taker decide that they would like to cancel due to technical issues.


Unlimited Exam Attempts

We offer unlimited exam attempts (re-sits) for those candidates who do not pass on the first attempt.
However, we reserve the right in certain circumstances to withdraw the offer of unlimited attempts when it is evident that the candidate is unlikely to achieve a passing mark.
Should a candidate’s score be significantly low with no sign of improvement after the third attempt, we may decide to withdraw the candidate from the exam process.

Additionally, if a candidate fails their exam three times, they will be required to observe a mandatory two-week break before they are eligible to reattempt the exam.
This break is intended to allow time for further study and improvement before the next attempt.

Candidates who booked via the BIIAB website are entitled to one free re-sit. Subsequent exam attempts are priced at £25+VAT.


Licensing Applications

Personal Licence

Validity of Applications
Personal licence applications are valid for 12 months from the date of purchase.
If a candidate fails to provide the required information or documentation within this 12-month period, their application will be deemed inactive.
In such cases, the candidate will be required to restart the application process and repay all associated fees.

Cancellations
If a candidate wishes to cancel their personal licence application after Licensing Solutions has begun processing the application, the following refund policy applies:

  • The administration fee is non-refundable once the process has started.
  • The DBS fee and Licensing Authority fee may be refunded only if they have not yet been submitted or used at the time of cancellation.
    Once these have been paid or processed, they are strictly non-refundable.

Licensing Solutions, through its application team or agents will:

  • Liaise with an applicant to establish the likely success of an application and provide advice as appropriate
  • Gather the relevant information and documentation from an applicant to be able to make the application for a DBS certificate and a personal licence
  • Liaise with the Disclosure and Barring Service on the applicant’s behalf
  • Liaise with the relevant Licensing Authority on the applicant’s behalf
  • Prepare and submit the forms of application for the DBS certificate and for the personal licence
  • Collect application fees from the applicant and submit these accordingly
  • Provide regular updates to the applicant of the progress of the application

Licensing Solutions will not:

  • Guarantee the success of the application
  • Guarantee that an application will be granted by a specific day or date
  • Refund any fees if the application fails, is withdrawn or refused for any reason
  • Provide representation for an applicant at a Licensing Authority Hearing unless specific arrangements have been agreed as part of the application process

An applicant (user of the Application Service) agrees:

  • To comply promptly with any reasonable requests to provide appropriate information and documentation in order for the application to be submitted
  • To pay an appropriate additional charge both for a new DBS certificate and administration costs if the DBS expires before a personal licence application is submitted, if such a delay has been caused by the applicant’s failure to comply with reasonable requests from Licensing Solutions
  • That they are entitled and eligible to make an application for a personal licence
  • That Licensing Solutions has no control over the time that an application may take and the applicant will not be entitled to compensation should the DBS or relevant Licensing Authority take longer than an applicant might otherwise have expected

Premises Licence

Licensing Solutions, through its application team or agents will:

  • Liaise with an applicant to establish the likely success of an application and provide advice as appropriate
  • Research the local licensing policy
  • Prepare, complete and submit a suitable, valuable and flexible operating schedule
  • Submit all forms of application to the relevant authorities
  • Liaise with the relevant licensing authority and bodies on the applicant’s behalf
  • Prepare the notices for display on the premises and in the local newspaper (newspaper fee is payable by the applicant)
  • Provide regular updates to the applicant of the progress of the application

Licensing Solutions will not:

  • Guarantee the success of the application
  • Guarantee that an application will be granted by a specific day or date
  • Be liable for any refund to the applicant once the application has been booked irrespective of the success or completion of the application
  • Be liable for the applicant’s public notice or its correct display
  • Be liable for any monies paid for advertisement or re-advertisement of any application due to incorrect, misleading, or incomplete information provided by the client or licensing authority including any delay in processing the application as a result
  • Refund any fees if the application fails, is withdrawn or refused for any reason
  • Provide representation for an applicant at a Licensing Authority Hearing unless specific arrangements have been agreed as part of the application process

An applicant (user of the Application Service) agrees:

  • To comply promptly with any reasonable requests to provide appropriate information and documentation in order for the application to be submitted
  • That they are entitled and eligible to make an application for a premises licence
  • That they will provide plans of the premises in the required format and pay the relevant disbursements (newspaper fee and authority fee)
  • That Licensing Solutions has no control over the time that an application may take and the applicant will not be entitled to compensation should the relevant Licensing Authority take longer than expected
  • Pay the fees due to update their premises licence if required as a result of their DPS’s personal licence not being granted prior to the premises licence being issued
  • To pay all relevant disbursement and application payments immediately on request. If these payments are not made on request, we reserve the right to stop the application process. No refund will be due if the process is stopped

Health & Safety & Equal Opportunities Policy

Each exam is operated in accordance with the Health & Safety and Equal Opportunities Policies of the Training Provider that is operating the exam (details are available upon request).


Complaints & Grievance Procedure

Licensing Solutions has a Complaints and Grievance procedure, details of which are available upon request. Any person who feels aggrieved by any aspect of the exam at which he/she has attended is expected to raise their concerns to the exam tutor and/or examination invigilator at the time of the exam.
Complaints or concerns may otherwise be raised in writing to Licensing Solutions by way of email, letter or fax. Such complaints should be submitted within 48 hours of an exam.


Communication

Licensing Solutions is committed to protecting your privacy; however, we may wish to send you information relating to our business and the services we offer.
Your contact details will never be passed on to other organisations without your permission.
Should you wish not to receive such marketing communication, then you will have the opportunity to unsubscribe with immediate effect.
